APS3 pitch guide (1000 words)
Short answer: For a 1000-word APS3 pitch, use 3 examples of about 273 words each, between a roughly 100-word opening and a 81-word close. The panel wants to see that you manage your own workload, treat clients and data with care, and know when to escalate.
What APS3 panels expect
An APS3 role is about doing defined work accurately and reliably within established procedures. The panel wants to see that you manage your own workload, treat clients and data with care, and know when to escalate.
- Completing routine tasks accurately, often at volume, using set procedures and systems
- Managing your own priorities and meeting deadlines with day-to-day guidance
- Giving courteous, correct information to clients and colleagues
- Recognising when something is outside your authority and escalating it properly
Structure and word budget for 1000 words
1000 words usually means three examples in different contexts, so the panel sees breadth rather than one strength repeated.
| Part | Words | What goes here |
|---|---|---|
| Opening | 100 | Name the APS3 role, your current role and what your examples will show. |

What to emphasise at APS3
- Accuracy: errors you caught, checks you ran, records you kept clean
- Client care in difficult or high-volume situations
- Reliability: volumes handled, deadlines met, cover provided
- Small, practical improvements you suggested or made
What to avoid
- Claiming you 'managed' or 'led' things you contributed to; panels read that as inflated
- Spending most of your words on the workplace rather than what you did
- Leaving out numbers: daily volumes and turnaround times are strong evidence at this level
Verbs that suit APS3 (only if accurate): processed, checked, resolved, recorded, followed up, explained, suggested.
Coming from outside the APS? Retail, hospitality, call-centre and admin roles give strong APS3 evidence: volume, accuracy and dealing with upset customers.

An outline, not a script. The scenarios are invented. Use them to see what APS3-level evidence looks like, then write about your own experience.
Example 1: Fixing a recurring filing error
- Situation: Grant documents regularly saved to the wrong folder.
- Task: Find out why and stop it.
- Action: Reviewed 50 misfiled items; found a confusing folder name; suggested a renamed structure; wrote a short guide once it was approved.
- Result: Misfiling dropped to almost none over three months.
Example 2: Supporting a nervous first-time applicant
- Situation: Small community group struggling with the online form.
- Task: Help them lodge before the deadline without doing it for them.
- Action: Walked them through each section by phone; explained the eligibility rules in plain English; checked their attachments; reminded them of the deadline.
- Result: Application lodged two days early and found eligible.
Example 3: Learning a new system quickly
- Situation: Agency switched case-management systems with a week's training.
- Task: Be productive on the new system straight away.
- Action: Practised in the training environment after hours; wrote quick-reference notes; shared them with two colleagues who were struggling.
- Result: Back to normal processing speed within a week; the notes were added to the team's shared drive.
